DOE Announces Option for CCMS Certifiers to Receive Copies of Certification Report Submissions

DOE has received numerous inquiries from “Certifiers” (Importers and U.S. manufacturers) who would like to be able to access the certification reports being submitted by their third-party representatives.  DOE will soon be providing the ability to receive a copy of the certification report at the time your third-party representative submits the report.

Currently, a Certifier can automatically get a copy of a CCMS email confirmation of receipt by simply having the third-party representative enter the Certifier’s email address in the “CC” field in CCMS.  In that way, the Certifier knows that a certification report was received by DOE and can get the CCMS ticket number that was assigned to the report.  However, the Certifier currently cannot automatically get a copy of the certification report itself.

With this new functionality, Certifiers who use third-party representatives to submit their certification report will now be able to be copied on the submissions, including the certification report itself.  Any Certifier who wishes to be copied must ensure that the third-party representative enters the Certifier’s email address in the CC field on the original submissions and selects the option of “Send to CCs” in a new “Send Attachments on CCs for Compliance/Certification Submissions?” field. This functionality will be available starting on October 5, 2020.   

This functionality will also be available to Certifiers who submit on their own behalf who want to provide copies of certification reports to parties other than the submitter.

A certifying company can use this functionality to build its own repository of submitted certification reports to provide historical records as its contact person changes and to ensure it has a clear record of what it has certified in the past.

NOTE:  DOE recommends that, if a Certifier has a high volume of certification reports being submitted, it may want to set up a separate email account solely for the purpose of receiving the copied emails and submissions. The email address receiving copies of certification reports does not have to be the same email address as that for the Certifier contact person on the certification report.
